HSA expenses and receipts, in one place
Bring your spreadsheet.
Or just your receipts.
Every HSA receipt, safely in your pocket.
Import the HSA tracker you already keep and every row is saved as an expense. Then drop in your receipts: PocketHSA reads each one with AI and matches it to its expense. No tracker? Just upload your receipts and approve the expenses it reads from them.
Receipts live in your Google Drive or PocketHSA cloud. Your data is always yours. We never gate it, and export works on every plan.

PocketHSA does the work
Matches each receipt to its row in your sheet.
AI reads the date, provider, and amount, and you approve.
Your Google Drive
In your own Google Drive.
Connect Google Drive and your receipts and expense sheet stay in your account. Open them anytime, even without PocketHSA.
- Receipts go into a PocketHSA folder, with a folder for each year. Each file is named by date, provider, and amount.
- Turn on the PocketHSA Ledger and your expenses are copied to a Google Sheet in that folder. The copy is one-way, so make changes in the app.
- PocketHSA can only open the files it creates in your Drive.
- Drive is optional. Skip it and receipts are stored in PocketHSA cloud. Either way, you can download everything anytime.
Three ways to start
Start from what you already have.
An expense is one HSA purchase: a date, a provider, and an amount. A receipt is the file that proves it.

Add expenses as you go
Add an expense when you pay a medical bill, and snap the receipt while it is in your hand. A photo can fill in the details for you to check.

One free account covers all three. You can mix them later.
Why keep receipts
Reimburse yourself years later. Keep the proof until then.
If you pay medical bills out of pocket, the IRS puts no deadline on reimbursing yourself from your HSA. The hard part is finding the receipt when you need it. PocketHSA keeps each expense next to its receipt, without retyping the sheet you already trust.

- Mark an expense reimbursed and see what is still available to claim.

Questions
Do I have to give up my spreadsheet?
No. Bring the one you already keep. PocketHSA matches the columns it recognizes and keeps the rest in the notes, and you confirm the preview before anything is saved. Each row is saved as an expense.
Can I import from Google Sheets?
Download your sheet as Excel (.xlsx) or CSV, then import that file. PocketHSA does not read a Google Sheet directly. If you connect Google, it can keep a one-way copy of your expenses in a Google Sheet it creates.
I do not have a spreadsheet. Can I start with receipts?
Yes. Upload receipt photos or PDFs. AI reads the date, provider, and amount on each one. You check the result, fix anything it got wrong, and save each receipt as a new expense. Nothing is saved until you approve it.
How does receipt reading work?
When you scan a receipt, an AI service reads it to pull out the merchant, date and amount. Our AI provider's contract says it can't train on your data, and it deletes it within 30 days. You review everything before it's saved. Blurry or unusual receipts can be misread, so every field stays editable. Reading pauses for a few minutes if you upload a very large batch at once.
Can I reimburse myself years later?
The IRS places no time limit on HSA reimbursements, as long as the expense was incurred after you opened the HSA and it was a qualified medical expense. This page is not tax advice. The practical problem is still having the receipt when you need it.
What is the difference between an expense and a receipt?
An expense is one HSA-eligible purchase: a date, a provider, and an amount. Spreadsheet rows and anything you add by hand are expenses. A receipt is the file, a PDF, photo, or scan, attached to an expense. An expense can be missing a receipt until you attach one.
What does Available to claim mean?
It is the total of your out-of-pocket expenses that are not marked reimbursed yet. Expenses paid with an HSA card are left out, because the HSA already paid them. On Free it counts your active expenses.
What happens when I import more than 25 expenses on Free?
Every row is saved. Expenses you already added stay active, and the most recent imported expenses fill the rest of the 25. The others stay saved in your list and in every download, and become active with Pro.
Is export free?
Yes. On Free and Pro you can download all of your expenses and receipts anytime, including expenses that are not active on Free. The formatted PDF for tax season is the part that needs Pro.
What happens if I stop paying for Pro?
Your account moves to Free. Every expense and receipt stays, and export still works. Free keeps 25 expenses active, so adding new ones past that needs Pro again.
